Destination Wedding Guest Frequently Asked Questions

Please complete our online registration form with your chosen room category and stay dates to make a reservation. If you don't have your passport yet, you can submit it later. Ensure you include your credit or debit card details so that we can process your reservation. Once we receive your registration form, we will review it and send you an invoice approval for you to sign. Once you have approved and signed, the next step is to sign the insurance waiver if you opt out of purchasing.
From there, we will book your room, process your deposit, and send an invoice with the total amount and due dates.

Yes. For us to make your reservation, we need the legal names of everyone in your travel party.
This means we need your name exactly as it appears on your passport or birth certificate.
If you are unsure who will be staying in your room, we recommend booking a single room and adding someone later.

Booking with the wedding group ensures you receive the negotiated group rate and any perks associated with the wedding block. It also allows us to coordinate important details such as group transportation, room block management, and wedding guest communication.

Booking your reservation

Yes. One of the benefits of working with a travel advisor is that we lock in the rate for your reservation and allow you to make payments toward your trip.
Payments can be weekly, monthly, bi-monthly, or paid in full at once. You can choose the schedule that works best for you as long as the balance is paid by the final due date.
Please note: for non all-inclusive reservations, you may be charged an additional credit card processing fee per payment.

Please reach out to support@travel-bash.com if you need the payment link. You can also find the link in the email containing your initial invoice.
Make sure you have your confirmation number from your invoice, as you will not be able to submit payments without it.

No worries! You should have received a confirmation email stating that your payment submission was received.
Please allow up to 48 business hours for the payment to be processed. If your payment was submitted over the weekend, we will process it the next business day.
Once your payment is processed, we will send you an updated invoice reflecting the payment. If there are any issues with the payment, we will contact you.

Most debit cards have daily charge limits, sometimes as low as $500. Please confirm your daily charge limit with your bank before submitting large payments.
If you attempt to charge over your daily limit, your card may be declined.
Debit cards are also not recommended for international travel. If you have questions, feel free to ask us for more details.

The final due date is not flexible. This date is set to ensure your room remains secured and to avoid penalties associated with the wedding group contract.
The bride and groom have signed a contract with the resort, and missing payment deadlines may result in additional charges or the release of your reservation.
Payments & Payment Plans
Changes, Cancellations & Refunds

Yes. Changes are typically allowed until your final payment date, which is usually about two months before departure.
Some changes may incur additional fees. Please review your invoice for specific details regarding change policies.

You can add or remove guests from your reservation, or change the type of room you originally reserved. However, changes may result in a change fee or an adjustment to your total reservation cost.

We’re sorry to hear that! If you need to cancel, please submit your cancellation request in writing by emailing support@travel-bash.com.
Include your reservation details and wedding group in the subject line.
If you did not purchase travel insurance, please note that your initial deposit is non-refundable and additional penalties may apply. Please review your invoice for specific cancellation terms.

Due to various factors, refunds can take 10–12 weeks to process.
Refunds will be issued back to the original form of payment. If your card has expired but the account is still active, the refund will still process normally.
If your bank account has changed, we will need updated information to process your refund.
Travel insurance

Travel insurance is highly recommended to protect your investment. It can provide coverage for unexpected events such as trip cancellations, travel interruptions, or medical care while traveling abroad.
Given recent travel disruptions, insurance is more important than ever.
Insurance pricing is based on the cost of your trip and will be quoted per person. We typically provide insurance options through Allianz or our travel partners.

Yes. If one person on the reservation purchases travel insurance, everyone listed in that reservation must purchase insurance as well.
If anyone chooses not to purchase insurance, they must sign our insurance waiver before we can proceed with the booking.
Flights & Airfare

We can assist with booking flights for a $150 per person service fee.
Please mention this request on your registration form or contact us at support@travel-bash.com.
Flights must be paid in full at the time of booking. We do not receive discounted flight rates and typically see the same pricing that is available online.
If you are looking for a payment plan option for flights, you may consider services like Airfordable.

Many guests prefer the flexibility of booking their own flights using points, credits, or preferred airlines.
However, if you would like assistance booking your flights, we are happy to add them to your reservation upon request.
Resort information

Most resorts selected by our wedding clients are all-inclusive. This means your stay typically includes your room, meals, drinks, Wi-Fi, and some resort activities.
Some services, such as spa treatments, motorized water sports, and certain excursions, may have additional fees.
If the wedding takes place at a non all-inclusive property, that information will be clearly stated on the group booking site and hotel website.

Most resorts have check-in at 3:00 PM and check-out between 11:00 AM and 12:00 PM.
If your room is not ready when you arrive, the resort will store your luggage so you can begin enjoying the property.
We recommend packing a swimsuit, sandals, and sunglasses in your carry-on in case you want to change before your room is ready.
Room requests & special accomodations

You may request to have your room located near another guest. However, requests cannot be guaranteed and are based on availability at the resort.

Yes. You may request a first-floor room, but requests are not guaranteed and are based on availability.
If you have mobility concerns or health reasons that require a first-floor room, please email us so we can notify the resort.

If you prefer double beds instead of a king bed, please note this request on your reservation form.
The resort will do its best to honor the request, but it is based on availability.
Transportation

In many cases, airport transportation is included with your reservation.
If transportation is included, we will coordinate your arrival and departure with the transfer company. Travel documents with instructions will be sent about 10 days before your departure.
When you arrive at the airport, you will typically see a representative holding a sign with your name or the wedding group name.
Transportation included in your package covers transfers between the airport and the wedding resort only.
If you extend your stay or stay at another hotel, additional transportation costs may apply.
Activities & Excursions

Please review the resort and destination website shared in your welcome email.
We will also send a “Before You Travel” guide approximately two weeks before departure with helpful information and travel tips.

Book in advance: Contact our team before your trip and we can help arrange activities.
Book on-site: Once you arrive, you can book activities through the resort concierge or tour desk.
Safety & travel information

We only work with trusted partners and resorts that meet high safety standards. However, travel safety is ultimately a personal decision.
We recommend using common sense and reviewing travel advisories through the U.S. Department of State website.

Resorts follow strict health and safety standards. If you have concerns, we recommend choosing well-known brands or avoiding alcohol.
Always use common sense and do not drink anything that appears tampered with.
