How do I make a reservation?

Please fill out our online registration form completely, with the room category you would like to reserve along with the dates of your stay. If you do not yet have your passport, you can leave that part blank and send it to us at a later date.

Please make sure to add your credit or debit card as we will not be able to move forward with making your reservation without it. Once we have received your registration form, we will book your room, process your initial deposit, and confirm your reservation. Once your reservation has been confirmed, we will send you an invoice with the total and the due dates. Please make sure to read through your invoice carefully. Also, please be sure to specify on the registration form whether you would like insurance – if you elect to proceed without insurance, we will send you an insurance waiver to sign.


Is there any flexibility with the final due date?

There is no flexibility with the final due date. The final due date is set so you do not incur any additional fees, as well as to make sure your room is not released. The bride and groom have signed a contract on your behalf and do not want to incur any penalties that may affect their room block.

Can I make changes once I have made my deposit?

Changes may be made up until your final payment has been received, this is usually about two months prior to your departure. Some changes may incur additional fees. Be sure to read over your invoice carefully.

What if I need you to book my flight?

We can book your flight for you! Make sure you make a note on your online registration. If you need assistance booking your flight, please reach out to us at support@travel-bash.com. We do not get any discounts on flights and most times, see the same pricing you might see. If you are looking for an affordable way to make payments towards your flight, we suggest you take a look at Airfordable which allows you to only pay a fraction of the ticket price upfront. Just note, if we book your flight, you will need to pay in full at the time of booking.

Do I need insurance? What does the insurance cover?

Travel insurance is highly recommended to protect your travel investment. Many trips, like yours, involve non-refundable deposits paid months in advance. Travel insurance protects you from losing this investment. Perhaps even more important is the ‘during travel’ coverage and assistance that comes with the top-flight insurance companies we carry. Trip interruption due to illness or unforeseen circumstances can be very expensive. Medical care abroad is often not covered by domestic insurance plans. Given the recent pandemic, insurance is more important than ever before.

What if I want to extend my stay and/or upgrade my room?

That works for us! At most resorts, there is a minimum stay of three nights. When we work with groups, we like to provide the least amount of nights in our pricing, along with the leading category room. We are here to make your reservation process as easy as possible. To help us, if you do want to extend your stay or upgrade your room, please note in the comments of your registration form and/or reach out to us via email at support@travel-bash.com. We will reach out to the hotel, check the availability and get additional pricing, if we do not already have it. Please note: not all rooms are available to wedding groups.


Can I make monthly payments?

The great thing about working with a travel advisor is we lock in the rate for you, and allow for a payment plan. The payments can be weekly, monthly, bi-monthly or one big payment. We make paying off your trip as convenient as possible. There is no set amount and you are in control.


Speaking Of Monthly PAYMENTS, WHAT ARE ALL THESE EMAILS I KEEP RECEIVING?

Just so you know, Courtnie is not personally sending you emails every day lol! We know that the emails can sometimes be confusing and overwhelming and we apologize in advance but have found it beneficial for our groups. We set automatic emails and reminders for each of our groups to make it easier for all guests to remember important items. You can just ignore them if they don’t work for you. We say as long as your final payment is made by the due date, you are good to go and everything else is just icing on the cake.

If they are too annoying, shoot us an email, and we will turn them off but we want to be helpful and make sure that you don’t miss any important information. There are several emails you might receive such as: Hello, Insurance and Invoice approval, Payment reminders, Before You Go, Excursion Info, Flight Follow-Up, Passport, and even a Welcome Back, just to name a few.


Is this an all-inclusive resort? Does that really include everything?

Most of the resorts our wedding clients choose are all-inclusive, meaning you can essentially show up at your destination and not have to spend any additional money. With that said, if that changes and/or the bride and groom choose a different type of property, we will share that information with you. All-inclusive resorts include the price of your room, some activities, food and drinks and WIFI – we can’t forget that WIFI! There are some items such as motorized sports, spa services and excursions that are provided at an additional charge.


Do I need to have the names of everyone in my room at the time of booking?

Yes, in order for us to make your reservation, we need the legal names of everyone in your travel party. If you do not know who that is at this point, we ask that you book a single room and we can always add someone at a later date. Referencing your legal name, this means that we need your name as listed on your passport or birth certificate.


Can I request my room to be located close to another guest?

You can request that your room is located close to another guest, however, we cannot guarantee that this request will be upheld. Special requests are first-come, first-served, and based on the availability of the resort.


Can I add people to my room anytime?

Yes, you may add people to your room up until the final payment due date, however, additional fees may apply if you do so after the initial deposit has been made.


Can I request a first-floor room?

Yes, you may request a first-floor room, but we cannot guarantee that you will receive it. The resorts do try to honor all requests, but they are based on availability, as well as if the guest is disabled and/or elderly. Again, all special requests are on a first-come, first-served basis. Please email us if there are any health reasons why you or your guests may not be able to stay on a higher floor. Most resorts do have elevators but if you have a hard time getting around, we may suggest an alternative that makes more sense.


What if we want double beds instead of a king?

If you would like double beds instead of a king, please specify this on your online reservation form. Depending on the resort, we may request. Most times, they honor our requests, however, it will be based on availability. Usually, this isn’t an issue at a family-friendly resort, but most adult all-inclusives focus on couples and double occupancy requirements.


What is the process for submitting payment?

Please reach out to support@travel-bash.com for the payment link, you can also find the link in the email including your initial invoice. Please, make sure you have your confirmation number as listed on your invoice, as you will not be able to make any payments without it.


My card has not been charged, what does that mean?

No worries! You should have received a thank you email notifying you that we have received your payment submission. Please allow 48 business hours from the time of submitting the payment for it to be processed. If submitted over the weekend, we will get to it first thing Monday morning when we open back up. Please note that payments aren’t automatically processed.

We will send you your updated invoice once your payment has been submitted. If there are any issues with the payment, we will reach out to you.

Should I USE A DEBIT OR CREDIT CARD FOR MAKING PAYMENTS?

Most debit cards have daily charge limits. Depending on your bank, this daily charge limit may be as low as $500. Please confirm the daily charge limit with your bank prior to submitting a large debit card payment. If you attempt to charge over your daily limit, your card will be declined. Note: Debit Cards are NOT recommended for international travel. Ask us for more details.

What is there to do at the resort/destination?

Please visit the resort/destination website provided in our initial Welcome email, as well as make sure to check out your bride and groom’s wedding website. We usually send out resort information and fact sheets throughout our time together. We will also send you a quick ‘Before You Travel’ doc with helpful tips about your destination two weeks prior to your departure. Is the alcohol safe? Will I die from drinking the alcohol at the resort?

We have heard this before, especially with the tainted alcohol articles swirling in our news media over the last year or two. We are going to tell you that safety is something that you have to decide on your own as a traveler because we can’t tell you what your safety will be like when you get there, and we can’t tell you what you are comfortable with in terms of risks. In our opinion, it is no more dangerous than grabbing a cocktail at your local bar. Would we call that safe?! That is up to you to decide. We work with travel partners who practice the highest standards and health protocols, and your safety is of the utmost importance to us. With that said, never drink anything that has been opened or doesn’t seem right. We always say to use common sense.


What is the drug policy in this country?

Drugs in most countries are illegal just like they are in the United States. Please check out the travel.state.gov website to learn about specific destination information.


Am I going to be safe?

Again, safety is something that you have to decide on your own. We always advise using common sense. Don’t do anything you wouldn’t do at home, but again, we work with the best in the business, and would never send you somewhere intentionally that was deemed unsafe/unethical. We always advise going to the U.S. Department’s website to find out more about each destination. With that said, we never send clients or their guests to properties we have not personally vetted, stayed in/or visited. If there is a property that your group leader/couple chooses that we have not been to ourselves we make sure that our partners can vouch for the quality. We have not had any issues to date and believe that you will be safe at the resort, as long as you are following the rules and staying away from illegal activity. We also want you to know that we understand things happen so we want to make sure you have made the decision you are comfortable with because we can’t tell you what you are comfortable with as far as risks. All the properties/resorts we work with have strict policies to ensure the safety of all guests. That is why you will also notice when you pull up to gates, that attendants always ask for the name/room number and question the driver as they enter and exit the property. We are not held liable for any circumstances that may arise in a destination.

When is Check-in and Check-out?

Most resort check-ins are at 3:00 p.m. Check-out is usually between 11 am/12 pm. With that said, if your room is not ready upon arrival, an attendant will take your bag and you can go enjoy the property until your room is ready. We encourage guests to have a swimsuit, sandals, and sunglasses in their carry-on so if they need to change before their room is ready, they are easily able to.

What do WE NEED for TRANSPORTATION?

Most times transportation is included in your price. If not, we will share additional information with you as well as instructions for your group.

For those with transportation included, we will coordinate your arrival and departure with the transfer company and you will receive travel documents about 10 days from your travel date with information regarding where to find the company upon arrival to your destination. Most times they will have a sign with your name and/or the group name and will be waiting on you as soon as you pass through Customs & Immigrations.

Please beware of the taxi cab drivers, salesman, etc…Please note transportation included in your package is ONLY from the airport to the host hotel and back to the airport. Should you wish to arrive early, extend your stay or hop to a different hotel, additional transportation costs will apply. You can book this on your own or reach out to us for a quote.

Example 1: John and Jane are arriving early to visit one of their favorite properties before heading to the wedding, their transportation will have an additional fee.

Example 2: John and Jane planned to leave the wedding but head to a different resort instead of flying back home. In this scenario, their transportation will have an additional fee.

Departure Info: Your transportation has already been confirmed and you will not need to pay anything additional. For departure transportation time, please make sure to ask the transportation company representative. The transportation company should go over this information with you upon arrival and have you confirm flight time as well as share the pick-up schedule with you.

It is imperative that if you book your own flights that you forward us your details at least ONE MONTH prior to departure. This ensures that you are picked up in a timely manner and the transfer company has all the information they need to deliver the best service.

What should I bring?

How do I book excursions/activities?

Once you arrive at your destination, your transfer company will provide you with information on activities and transportation options, and encourage you to visit their tour desks which are usually located inside of the resort. If you would like to take care of this ahead of time, please feel free to reach out, and we can assist you with this process, as well as give you some additional recommendations.

How do I get in contact with you?

The best way to contact us is via email at support@travel-bash.com. This is the fastest way to receive a response, as we have several wedding groups to assist. We respond to all inquiries in the order they are received. We try to always get back to you within 48 hours, but are sometimes traveling, and response time can vary. Please be patient as we will get back to you as soon as possible. Our email is support@travel-bash.com. Please note that we do not accept any revisions and/or provide any quotes over the phone. All reservation-related information must be in writing.

How do I apply for a passport?

Please visit https://travel.state.gov/content/travel/en/passports/how-apply.html for more information. You can also reach out to us for a paper copy of the application. 

My name is spelled incorrectly and/or my invoice is not correct. What should I do?

Please inform us as soon as possible. We will take care of this. Email at support@travel-bash.com and we will correct any discrepancies right away.

What if I need to cancel?

We hate to hear that! We will need you to submit this request in writing. Send an email to support@travel-bash.com letting us know that you need to cancel. Please include the reservation and wedding group in the subject. Please note: if you did not purchase travel insurance, your initial deposit is non-refundable and you may be charged an additional fee. Make sure to read through your invoice carefully.


Do you price match? What if I see a lower price?

We do price match, however, it must be apples to apples. Most times OTA's or online travel agencies do not account for special perks, transfers and other comps that are included in our group pricing. Please make sure to read the fine print. Oftentimes, they are not the same.


Why isn’t Air included in our package?

We have found that many of our guests enjoy the flexibility of booking their air travel on their own. Many use points, future flight credits and vouchers. Some find a deal that we aren’t able to provide. With that said, we are more than happy to add air travel to any reservation. The total amount will be added to your reservation. Some brides opt for a group air flight, in which case we will follow-up with additional information pertaining to the process.


If I cancel, when can I expect my refund?

We cannot guarantee an exact date for you to receive your refund. Please allow at least 10-12 weeks as most accounting teams are smaller, and due to various reasons, aren’t able to process your request that fast. Please try not to reach out before this time as we will not have information to share nor any way to update you on where they are with processing this information. All refunds will be refunded back to the original form of payment. If your card has changed due to expiration or new card request, but the account and bank still remain the same, we do not need any additional information from you. However, if you no longer have that specific account or bank, we will need to reach out to update the supplier with new information. If we can’t get a hold of you in a reasonable time frame, we will automatically send you an official check via snail mail.


Does everyone in my party have to get insurance?

While we recommend that everyone in your party get insurance, it is not required. Insurance prices are based per person. Most times children are included as long as they are traveling with parents.


What if I want to remove someone from my room or change my room reservation?

You can add or remove someone from your room. You can also change the type of room you originally held. However, you may incur a change fee. Removing or adding someone from your room may also increase the total of your reservation.


What if I am a loyalty/rewards member for these hotels? I have a timeshare and/or have bought into a vacation club?

We are not able to assist with these types of reservations. We suggest that you book on your own and/or save for another time.

Do I need a visa?

Most Caribbean locations do not require a visa. If this is not the case, your group leader and/or travel planner will inform you and assist you in obtaining one.

 

I am staying at a different resort than the wedding resort, does my transportation roll over?

No. The transportation that is provided is to and from the wedding resort. If you choose to alter your transportation, there will be an added change fee and transportation fee.

What is the best way to reach you? 

The best way to reach us is via email. Our email is support@travel-bash.com. We check emails daily Monday-Friday. Please allow at least 48 hours to hear from us before reaching back out. We want to handle all requests so please try not to bother the bride and groom. We promise to get you taken care of before the big day!

Wait, I can’t call?

Yes, you are more than happy to give us a ring however, we have found that it is best to get everything in writing. We service multiple groups and it is the best way to keep track of all inquiries. Please make sure to put your group name in the Subject.

Just so you know, we stay on the phone quite a bit so you might not get through on the first ring but if you leave us a voicemail, we will return your call as soon as possible.

Please note: You will hear from us from time to time via phone call ( we leave voicemails too!!!) especially when it gets closer to final payment but feel free to reach out as sometimes we understand it’s better to just pick up the phone and talk it through.
